Refund Policy

The headline
We don’t charge you anything during the 60-day free trial. After that, we will refund the most recent month if you ask within 14 days of being billed and have used the platform fewer than 10 times in that period.
1. Free trial
Every new subscriber gets a 60-day free trial. We do not charge your card during the trial. You can cancel any time from the dashboard and never be charged.
2. Statutory cooling-off period
If you are a consumer based in the UK or the EU, you have a 14-day cooling-off period that runs from the day you complete signup. Because you start using the software immediately, you explicitly waive that right at the checkout step — but if you haven’t used the dashboard at all during those 14 days, we will still refund any charge taken in that window.
3. Standard refund window (after the trial)
We refund the most recent monthly or annual invoice if:
- You request the refund within 14 days of the invoice date; AND
- You have used the platform fewer than 10 times since that invoice (we count distinct days where any order, kitchen action, or report was made).
We do this because we’d rather have a happy non-customer than a frustrated one. After 14 days, or after meaningful use, the invoice stands — but you can still cancel future renewals.
4. Annual plans
Annual prepay refunds are pro-rated to the unused months, rounded down, minus a 1-month administrative fee equivalent to the monthly rate. The 14-day window above also applies for a full refund on the same conditions.
5. Service failures
If we miss the 99.5% uptime target in our Terms of Service, you receive a service credit (not cash) on your next invoice. The credit is the prorated daily fee for each full hour of downtime, capped at one month per incident.
6. How to request
Email billing@posgpt.uk from the account owner’s registered email, include your restaurant name and the invoice number you want refunded. We respond within 3 working days; refunds are processed via Paddle and typically appear on your card within 5–10 working days depending on your bank.
7. Chargebacks
Please email us first. Initiating a chargeback before we’ve had a chance to refund you is something we contest, because chargebacks come with bank fees that don’t help anyone. If we’ve refused a legitimate refund, file the chargeback — we won’t hold it against you.
8. Discount-coupon refunds
If you used a promotional coupon (for example our 20%-off-forever offer), refunds are calculated on the amount you actually paid, not the pre-discount price.
